How the GeoMATES 2027 congress handles personal data — and why this site does not ask you to accept cookies.
1. Who is responsible
This website and the scientific organisation of the 23rd Hungarian Geomathematical Congress (GeoMATES 2027) are the responsibility of the HUN-REN Research Centre for Astronomy and Earth Sciences (HUN-REN Csillagászati és Földtudományi Kutatóközpont), H-1121 Budapest, Konkoly Thege Miklós út 15–17., Hungary. Tax number: 19426189-2-43.
Data protection officer of the Research Centre: Dr Ernő Prácser, reachable through the address above. The Research Centre’s general data protection notice is available here; the present notice covers the congress and this website.
Registration, invoicing and payment are not run by us. They are operated by our conference agency, ALTAGRA Szervező és Utazási Iroda Kft. (H-1141 Budapest, Cinkotai út 109. fszt. 4., tax number 11886747-2-42), which acts as an independent data controller for those data under the contract between us. Section 4 explains what this means for you.
2. What this website does not do
This site sets no cookies and stores nothing on your device — no local storage, no session storage. It runs no analytics, no advertising and no tracking of any kind, and it embeds no social media or video players.
The typefaces are served from our own server rather than from Google Fonts, so your IP address is not disclosed to a third party when a page loads. Links to external sites (Google Scholar, YouTube, Google Maps, the registration system, hotel and transport websites) are ordinary links: nothing is transmitted to them unless you click.
This is why you are not asked to accept cookies: there is nothing to consent to.
3. What we process, and why
The following describes what we, the Research Centre, do with personal data.
Automatically
Server log files
Our web server records the IP address, the time of the request, the page requested, the referring page and the browser identification, in order to operate the site and to detect attacks.
We keep a list of researchers who may be interested in the congress — name, e-mail address and affiliation — in order to send the invitation, the calls and the circulars. Most entries come from earlier GeoMATES congresses or from publicly available academic sources.
Legal basis: legitimate interest in informing the scientific community (Art. 6(1)(f)). Every message carries an unsubscribe option, and one word to info@geomates.eu removes you from the list. Retention: until you unsubscribe.
When you write to us
E-mail correspondence
If you contact us we process your name, e-mail address and the content of your message in order to answer it.
Legal basis: legitimate interest, or steps prior to a contract (Art. 6(1)(b) and (f)). Retention: no fixed end date — correspondence stays in the congress mailbox for as long as that mailbox is maintained. You can ask us to delete your messages at any time.
From the registration system
The participant list
Altagra passes on to us what we need to run the congress: your name, affiliation, registration category and the presentation you registered with. We use it for the name badges, the participant list, the scientific programme and the book of abstracts.
Legal basis: performance of a contract (Art. 6(1)(b)). Retention: 5 years.
When you submit an abstract
Abstracts
Abstracts are collected through Altagra’s submission system and reviewed by our scientific committee. Accepted abstracts, together with the authors’ names and affiliations, are published in the book of abstracts.
Legal basis: performance of a contract (Art. 6(1)(b)). Retention: the book of abstracts is archived permanently; review records for 5 years.
If you present a poster
Poster files
Posters sent in advance are stored on the organizers’ server, linked from the book of abstracts and shown on the e-poster screens at the venue.
Legal basis: performance of a contract (Art. 6(1)(b)).
During the congress
Photographs and recordings
Photographs are taken at the congress and published in the gallery of this website. Selected talks are recorded together with their slides, and a short atmosphere video with interviews is produced.
The open plenary talk is streamed on the speaker’s own YouTube channel, so that the talk is freely accessible to everyone.
Legal basis: your consent, given at registration (Art. 6(1)(a)). You may withdraw that consent at any time, and you can ask us to remove a photograph or a recording showing you.
4. Registration and payment: Altagra
When you register for the congress you are dealing with Altagra, not with this website. Altagra operates the online registration and abstract submission system, runs the conference secretariat, issues the invoices in its own name and collects the registration fees and the fees for optional programmes on its own bank accounts. Where a reduced fee depends on your status, Altagra is also the one that asks for and checks the supporting document, such as a proof of PhD studies.
Under our contract Altagra handles all of this as an independent data controller. That means Altagra decides on those processing operations itself, is answerable for them itself, and informs you about them in its own privacy notice — which is the document that applies when you fill in the registration form. We never receive or store your payment data.

5. Who else sees your data
Altagra — registration, secretariat, invoicing, on-site desk, name badges, recordings (independent controller, see section 4);
the hosting provider of this website — RendszerNET Kft. (SzerverPark.EU), Budapest, Hungary;
the operator of the e-poster system, for poster presentations;
the publishers of the special issues, if you submit a paper to them.
We do not sell personal data and we do not use it for advertising.
6. Your rights
You may ask us for access to your personal data, for its rectification or erasure, for the restriction of processing, and for a copy in a portable format. Where processing is based on our legitimate interest you may object to it; where it is based on your consent you may withdraw that consent at any time, without affecting what was done before.
Write to info@geomates.eu and we will answer within one month. For anything connected with registration, invoicing or payment, please turn to Altagra at geomates@altagra.hu.
If you believe your data was handled unlawfully you may lodge a complaint with the Hungarian supervisory authority:
Nemzeti Adatvédelmi és Információszabadság Hatóság (NAIH)
1055 Budapest, Falk Miksa utca 9–11., Hungary naih.hu
You may also turn to the courts, or to the supervisory authority of the EU country where you live.
